How do I record a contract?
The contractual arrangement, its dates, its cost, and the four Article 30 clauses a supervisor will look for.
- 1
Open Contracts & Arrangements and choose Add arrangement.
- 2
Pick the provider and the ICT service the contract covers.
- 3
Record the reference number, the start date, and either an end date or that it runs indefinitely.
Not both. A contract that has an end date and is marked indefinite is a contradiction the validation screen will refuse, because the authority cannot file both.
- 4
Record the annual cost and the currency together.
A cost with no currency is not a number anybody can use. Costs are never summed across currencies anywhere in this product.
- 5
Open the saved arrangement and complete Clause coverage: audit rights, access rights, subcontracting conditions, termination rights.
You should see: A Clause coverage panel on the arrangement.
Worth knowing
Recording a clause as absent is a legitimate answer and does not stop you filing. It produces a warning, because the register describes your arrangements as they are - a firm with a gap is still obliged to file a register that shows the gap.
Leaving a clause unanswered is different from answering 'no', and the product treats them differently. Unanswered means nobody has looked.
